UtilityOp Privacy Policy

UtilityOp is a work-logging and field-operations tool for utility crews and the office staff who support them. Accounts are created by a utility administrator; there is no public sign-up. This policy states what the product records, where it goes, and how long it is kept.
What we collect
- Account details entered by your administrator: your name, work email or username, and the role and tools assigned to you.
- Work you log: the note you dictate or type, and the fields derived from it — job location, materials and stock numbers, work order, crew present, start and end times, hours, and outage cause.
- Time-off requests and their approval status.
- Safety and compliance records: job briefings, truck inspections and safety audits. Safety audits are handled differently — see below.
- Vehicle location, where your utility tracks its fleet and an administrator has bound this device to a truck. See Location.
- Settings you choose, such as your crew roster and work schedule.
We do not collect contacts, photo libraries, or advertising identifiers. The app contains no analytics or advertising SDKs and no third-party tracking.
Location
Fleet tracking records a truck, not a person. Where your utility tracks its fleet, an administrator binds the device in the cab to a specific truck. That device reports its position periodically — including while the app is closed or the phone is locked — so a truck can be found during a night call-out or recovered if stolen. Each record holds the truck's device and a coordinate, never the driver. Reporting pauses when the vehicle is stationary. Positions are deleted automatically after 30 days.
Filling in a job location. If a work note does not say where the job was, the app may read your position once to complete that field. The result is an address on your own entry, which you can edit or clear before saving.
Both require your permission, which iOS asks for and you can withdraw at any time under Settings → UtilityOp → Location. Declining does not prevent you logging work.
Anonymous safety audits
A safety audit reports a hazard or concern to your utility's safety personnel without your name attached. The limits of that are worth stating exactly.
No one at your employer can identify who filed an audit — not safety, not your supervisor or manager, not your utility's administrator. The restriction is enforced by the platform rather than by a setting anyone at your utility can change.
UtilityOp, as operator, retains the technical ability to identify a submitter. We use it only where the law requires, or to address a credible threat to someone's safety. A request from your employer is not on its own sufficient. Each disclosure is recorded with its reason and recipient.
Because a submission is not linked to you, it cannot be shown back to you or tracked after sending.
Where it goes
Work you log is stored on your device first, and uploaded to your utility's account when you sync. Once uploaded it is visible to the people your utility has authorized, according to the role and tools your administrator assigned.
To turn a dictated note into structured fields, the text of that note is sent to a third-party AI provider for processing and returned to the app. The provider processes it to produce that result and does not use it to train models. Manual entry sends nothing.
Who processes it
We do not sell your data or share it with advertisers. It is processed only by the service providers that operate the product — cloud hosting and database, application delivery and push notifications, AI processing of dictated notes, and mobile app distribution — each under contract and only to provide the service. A current list of subprocessors is available to customers on request.
Your employer has access to the work you log, as they would with any timesheet.
How long we keep it
- Work records, time off, briefings and inspections: retained while your utility needs them for payroll and job history.
- Truck positions: deleted automatically after 30 days.
- Notifications: deleted 90 days after being read, and after a year regardless.
- AI usage counts kept to enforce fair-use limits — not the text of your notes — deleted after 30 days.
You can delete your account at any time under Settings → Delete My Account, which removes your account and everything you have synced. Reports your employer has already exported sit outside the product and follow their own retention practices.
Your choices
- Use manual entry instead of dictation, so no note is sent for AI processing.
- Refuse or withdraw location permission; you type the job location instead.
- Export or back up your own data from Settings.
- Delete your account and synced data from Settings.
- Ask your administrator to correct or remove records on your behalf.
